Account Reservation Guidelines

Elite Producers (Wholesale & Retail) may submit new business 120 days prior to the effective date.  Submissions in all counties (except tri-county) with a TIV of $10 mil or higher will be acknowledged and processed for clearance in the reservation system (see note on barrier islands*). Submissions in tri-County (Dade, Broward & Palm Beach) that are 1995 or newer construction will be acknowledged and processed for clearance in the reservation system.  All submissions with less than $10 mil TIV, or construction older than 1995 (in tri-county), will not be acknowledged or reserved, but will be retained on file.  Should the Elite Producer contact the assigned underwriter to request terms and the submission is quoted, it will be reserved.

All Other Producers (Wholesale & Retail) may submit new business no earlier than 90 days prior to the effective date.  Submissions in all counties (except tri-county) with a TIV of $10 mil or higher will be acknowledged and processed for clearance in the reservation system (see note on barrier islands*).  All submissions with less than a TIV of $10 mil and submissions in tri-county will not be acknowledged or reserved, but will be retained on file (with an exception for Retail Agents**).  Should the Producer contact the assigned underwriter to request terms, the submission may be quoted, but will not be reserved and can be quoted for other producers. (Note: Any Wholesaler that does not meet our minimum premium threshold of $500K in new business effective 1/1/2018, will no longer have submission clearance privileges.)

*Barrier Islands: Submissions for accounts located on barrier islands will not be acknowledged or reserved unless prior approval is received by your assigned underwriter

** Retail Agents: Submissions in tri-county that are 1995 or newer with a TIV of $10 mil or higher will be acknowledged and processed for clearance in the reservation system.

Other Submission Guidelines

  • Submissions received before 120 days (Elite producer) or 90 days (all other producers) will not be acknowledged and will not be retained.
  • Mid-term new business submissions are generally not accepted. Contact your underwriter before submitting.
  • Inaccurate inception dates may disqualify a submission at any time.
  • Agent of Record and Broker of Record letters will not be accepted if received within 10 calendar days of the effective date.
  • We will quote reserved accounts for the effective date requested. If the purchase date or CO extends beyond 10 business days from the effective date the account, status will be changed from reserved to active.
  • On reserved accounts that Sigma requests target terms or additional information – if that information is not received within 10 days – the status will be changed from reserved to active.

If you have any questions regarding this process please contact your assigned underwriter.
